The decisions behind VizaFiz, the visa alert product built by Neximo Studios: what we built, what we refused to build, and what it means for client projects.
Most agency case studies show screenshots. This one explains decisions, because decisions are what make a product work. VizaFiz is our own product: visa appointment alert software for applicants and agencies in Pakistan. Here is how we took it from an idea to a live service with paid plans.
The problem we saw
Visa appointments for Pakistani applicants open at unpredictable times and disappear quickly. People were spending weeks refreshing portals, missing slots while asleep or at work, and sometimes paying agents for appointments that are free on the official websites. We wanted to give applicants a fair, honest way to know the moment something changed.
Decision 1: Alerts only, never booking
The fastest way to build a "slot tool" would have been to make it book automatically and get around captchas. We refused. Booking on someone's behalf and defeating security checks breaks the rules of the portals, puts applicants' accounts at risk and is unfair to everyone else waiting. So VizaFiz is read-only: it watches, it alerts, and the applicant books. We explain this choice fully in Why VizaFiz never books or solves captchas.
Lesson for clients: the rules you set at the start shape the whole product. We help you write them down early.
Decision 2: Run on the applicant's own computer
Instead of logging in to portals from our servers, VizaFiz is a Windows app that runs on the applicant's own computer and reads the page they already have open. This keeps the applicant in control of their own account and means we never handle their portal password. The app reads only short page text such as headings and status words, never form values, passports or documents. VizaFiz explains this on its privacy article.
Decision 3: Meet people where they already are
Applicants in Pakistan live on their phones. Rather than asking them to watch another app, VizaFiz sends alerts to Telegram and email, with quiet hours and daily summaries. The website and assistant work in English and Roman Urdu, and there is an Urdu version of the site.
Lesson for clients: put your product inside the channels your customers already use. For many of our clients that means WhatsApp, which is why we build WhatsApp and website chatbots.
Decision 4: AI with proof, or no AI at all
AI can misread a page and cause false hope. So in VizaFiz the AI must quote the exact sentence from the portal before an alert goes out, is asked twice, can be cross-checked by a second model, and is re-checked a minute later. Users can bring their own key from Gemini, Groq, OpenRouter or Grok, or run a local model. Without a key, the app still works without AI.
Lesson for clients: AI should earn its place. In our custom AI solutions we add checks so the AI cannot invent answers.
Decision 5: Let users teach the product
Portals change their wording all the time. VizaFiz handles this two ways: unknown page text is redacted and reviewed so alerts keep up with changes, and a Learning mode lets a user walk through a new portal normally while the app learns the page structure, with their consent and without screenshots.
What we built, piece by piece
- A fast, Google-ready marketing website with route guides, a blog and legal pages
- A Windows desktop app that watches the portal page and pauses on any captcha, OTP or block
- Telegram and email alerts with two levels: "Slot Open" and "Portal Update"
- An AI checking layer with evidence quotes and secure key storage in Windows Credential Manager
- The VizaFiz Assistant for Roman Urdu and English questions
- Accounts, route selection, three PKR plans with device limits, and an admin side to run the service
These are the same services we offer clients: website development, business systems and admin panels, AI chatbots and custom AI.
Making it findable
A product nobody finds does not help anyone. The VizaFiz site has a guide page for each route, articles that answer the exact questions applicants search, such as how visa slot alerts work in Pakistan, and clear structure for Google. We apply the same approach to client websites.
What this means for your project
When you work with Neximo Studios, you work with a team that has taken its own product from idea to a live service with paid plans. We know where projects get stuck, which features to build first, and how to keep a product honest and easy to trust.
